What Is a Vendor Intelligence Score? A Plain-English Guide to VIS™

Ask ten procurement teams how “compliant” a vendor is, and you’ll get ten different spreadsheets, ten different definitions, and no consistent way to compare vendor A to vendor B. The Vendor Intelligence Score (VIS™) exists to fix that: one number, 0–100, for every vendor, calculated the same way every time.

What goes into the score

VIS is a weighted composite of four pillars:

  • Compliance coverage — what share of required documents are on file, approved, and unexpired.
  • Expiry buffer — how close approved documents are to expiring. A certificate expiring in 45 days scores better than one expiring in 5.
  • Document quality — whether submissions have been rejected or needed correction.
  • Responsiveness — whether the vendor has acted on outstanding requests.

Each organization can adjust how heavily each pillar is weighted — a hospital system might weight compliance coverage more heavily than a logistics company that cares more about responsiveness during peak season.

Why the score always explains itself

A number alone isn’t useful — a number with a reason is. If a vendor’s VIS drops from 86 to 74, VendMetric shows exactly why: “Insurance expires in 18 days,” or “One document rejected,” alongside a recommended next action. Nobody should have to guess why a vendor’s score changed, and nobody should have to take the platform’s word for it without seeing the evidence.

What a documented exception does to the score

Sometimes a requirement gets waived — a strategic vendor mid-renewal, a one-time engagement that doesn’t need every standard document. When a compliance officer grants a documented exception with a written justification, that requirement counts as satisfied for scoring purposes. The exception itself is fully audited, so the “why” is never lost.
